1. Who we are
LoadSub LTD (company number 16359919) is the controller of personal data processed through LoadSub. Our registered office is 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ. Contact us at info@loadsub.com.
2. Information we collect
We collect account and contact details, company and team information, vehicle and compliance records, group memberships, loads, bids, assignments, messages, proof-of-delivery and invoice information. We also process subscription status and Stripe customer references, device and browser information, security logs, IP addresses and records of how the service is used.
Please only enter personal information about drivers, contacts or other people where you are authorised to do so.
3. How we use information
We use personal data to create and secure accounts; provide load, bidding, group, messaging, compliance, POD, reporting and billing functions; communicate service information; prevent fraud and abuse; investigate incidents; improve LoadSub; and meet legal, accounting and regulatory duties.
4. Legal bases
We process data where necessary to perform our contract, comply with legal obligations, and pursue legitimate interests in operating, securing and improving LoadSub. Where consent is required, including for optional browser notifications or marketing, it may be withdrawn at any time.
5. Who receives information
Information is shared with other LoadSub users only as required by the feature being used and its access controls. Load details shared with a group are visible to eligible group members; confidential stop details are restricted to the assigned carrier. We use specialist providers for hosting, storage, email delivery and payments, including Render, Backblaze, Resend and Stripe. We may disclose information where required by law or to protect users and the service.
6. International transfers
Some service providers may process information outside the UK. Where required, we rely on adequacy regulations, the UK International Data Transfer Agreement or Addendum, or other lawful safeguards.
7. Retention and security
We retain information only for as long as needed for the service, dispute handling, security and legal obligations. Billing, contractual and audit records may be retained for up to seven years. We use access controls, encryption and monitoring intended to protect information, but no online service can guarantee absolute security.
8. Your rights
Depending on the circumstances, UK data-protection law gives you rights to access, correct, erase, restrict or object to processing, and to receive portable data. You may also complain to the Information Commissioner’s Office at ico.org.uk. Contact us first if you would like us to resolve a concern.
9. Cookies and analytics
LoadSub uses essential storage and cookies for sign-in, security and service operation. A first-party referral cookie preserves a member introduction for 90 days so the correct company can receive its earned reward. Google Analytics receives cookieless measurement pings before a choice is made or when analytics is rejected; these do not use analytics or advertising cookies. With your consent, Google Analytics and the Meta Pixel use browser storage to understand aggregate visits, acquisition sources and successful registrations or sign-ins, and to measure the effectiveness of our advertising. Analytics is limited to the public website and service authentication pages; authenticated operational activity is not sent to Google or Meta. For users who consent, Google advertising measurement signals may be used to attribute visits and registrations across Google services and devices. Advertising personalisation remains disabled, and we do not send company names, email addresses, load details, postcodes or group identifiers. You can accept or reject optional analytics using the banner.
10. Changes
We may update this policy as LoadSub develops or the law changes. Material changes will be communicated through the service or by email where appropriate.
